Committee Meeting Minutes April 29, 2008 7pm RBF Church In attendance: Jim Hopkins, Scott McCray, Jim McKnight, Rick Montgomery, Pat Kelly, Tim Meeks, Gale Marvin, Craig Christiansen 1) Summer Camp ~ Jim McKnight 29 scouts registered, 6 adults going, may need additional driver on return trip Five scouts have not chosen their MB classes ~ Laura will email them Jim will get final check from Jeanie to pay balance due Final payment due from scouts ~ Monday, May 5th 2) Scout Show ~ Jim McKnight Gale Marvin, Jim Hopkins and Miko Sprunck will help Need boys to sign up Space is reserved outside Show is Saturday, May 10 from 10-3, we need to begin set up by 9 am Jim McKnight will turn in all money due prior to Show opening. All scouts should have their cards or money turned in on Monday, May 5 unless arrangements are made directly with Mr. McKnight. 3) Treasurer ~ Jeanie Lawson No report 4) Meetings ~ Scott McCray Softball game/dinner ~ scheduled for May 12 from 6pm to 8:30pm at Huffines Park Pavilion. Need to see who has bases we can use Have scouts bring bats/balls Tim Meeks will organize food ~ hot dog, chips, drink and dessert $3 Court of Honor ~ scheduled for May 19 at 7pm at New Life Church Five scouts in the Communications MB class will organize the Court of Honor. New Life approved our using the sound booth ~ Laura will pick up the key on Friday, May 16. Laura to check with Jeff Branch to make sure he’s available. Miko will get pictures from the last few campouts, and Laura will look for the CD’s we’ve used for the slide show. Craig will have them put to music for the COH. 5) Leadership ~ Rick Montgomery SPL election will be Monday, May 5th. Scouts need to call Rick by Sunday, May 4 to make sure they’re on the ballot. Scouts should have a speech prepared for Monday. Committee discussed merging two patrols ~ Fox and Spartan. Both patrols are small and advantages of merging the patrols outweigh keeping them separate. Tim Meeks made a motion to merge patrols, Jim Hopkins seconded it and the committee approved the motion. Patrol elections need to be redone. The most recent assistant patrol leader should become the new patrol leader and other positions will be voted on. Eagles ~ Pat Kelly There are between three and ten scouts currently working on various stages of their Eagle projects. Nick Montgomery is nearing completion and will hopefully be ready for his Scoutmaster Conference soon. 6) New scouts ~ Jim Hopkins No report 7) Recruiting ~ Miko Sprunck Our troop has been asked to man a booth at the Cinco de Mayo celebration at Springridge Elementary. Miko, Gale Marvin and 1 or 2 scouts will represent Troop 81 on Monday, May 5 from 5:30 to 6:30pm. The committee agreed that this is a good opportunity to get our name out to potential scouts. Miko will provide a slide show presentation and troop information at the event. Committee agreed that our web site is in desperate need of updating or revamping. Jim Hopkins agreed to work on this for our troop. Laura will find out who has access information for the web site and get it to Jim as soon as possible. 8) PLC updates ~ Winston Duncan No report 9) Camping ~ Tim Meeks Canoeing campout went well with only one capsized canoe. The wind was the biggest obstacle, but all had a good time. There are several recurring problems with campouts: a) Scouts bringing too much gear b) Scouts walking around without shoes after being told to put them on. c) Poor food safety and storage d) Misuse of camp stoves, etc. Committee agreed to take time during several regular meetings next year to reeducate the scouts on these points. Committee agreed that scouts should be sent home for bad language, disrespecting equipment and failure to follow safe camping procedures (as per September 2007 committee meeting minutes). 10) Roundtable ~ Tim Meeks Information provided on troop medical bags and tour permits. Medical bag recommendations ~ a) Heat ruins most medications so medical bags should not be stored on the trailer ~ We will store ours inside the church b) All medications should be checked for expiration dates regularly ~ Tim will check all medications, but as the bag has been stored on the trailer, the committee agreed to purchase new medications. c) Tim is looking for a tackle box type storage for ease of use. Tour permits ~ Council does notify facilities on tour permits. If you do not arrive, the facilities are to call council. Therefore, tour permits should be changed or canceled if a trip/campout is canceled or changed. Committee adjourned at 8:15pm. Respectfully submitted, Laura Jones T81 Committee Chair
